What goes on a credit note

  • The issuer’s and customer’s names
  • A credit note number, separate from your invoice numbers
  • The date and the original invoice number it adjusts
  • The items or amounts being credited, with tax if the original had tax
  • The reason: return, overcharge, discount, or cancellation
  • Whether the credit is refunded or applied to the next invoice

Credit an invoice instead of editing it

Once an invoice has been sent, do not change it or delete it. Issue a credit note that references it. That keeps an honest paper trail, and the customer’s records and yours will still match. If you need to bill the correct amount, send a new invoice.

Frequently asked questions

Is this credit note template free?

Yes. There is no account, no watermark, and nothing is stored. It runs in your browser; print the credit note or choose Save as PDF in the print dialog.

What is a credit note?

A document a seller sends a buyer to reduce or cancel part or all of an earlier invoice, for example after a return, an overcharge, or a discount agreed afterward.

Should a credit note have its own number?

Yes. Use a separate sequence such as CN-0001 and refer to the original invoice number in the notes, so credits can be traced to what they adjust.

What is the difference between a credit note and a refund?

A credit note is the document. A refund is paying money back. You can issue a credit note and refund it, or leave the credit to reduce the customer’s next invoice.
