Sign and date (Part II)

Optional. Leave it blank to print and sign by hand. Either way, signing certifies the statements in Part II under penalties of perjury.

Signed PDFs include a signature certificate page with the signer, the time signed, this consent, and a fingerprint of the form contents. Drawn and typed signatures are generally valid under the federal E-SIGN Act and state UETA laws, but we don't verify identity or keep a copy, and the requester decides what it accepts. Some ask for a handwritten signature or their own e-signature system. This isn't legal or tax advice.

How to fill out a W-9

  1. Line 1: the name on your tax return. For a sole proprietor or single-member LLC, that's the owner's name.
  2. Line 2: your business, trade, or disregarded entity name, if different.
  3. Line 3a: check exactly one tax classification. LLCs that file as partnerships or corporations check “LLC” and enter P, S, or C.
  4. Line 4: exemption codes. Individuals and most small businesses leave this blank.
  5. Lines 5 and 6: the mailing address where the requester should send your 1099.
  6. Part I: your SSN or EIN. It must match the name on line 1.
  7. Part II: sign and date the certification, then give the form to whoever asked for it.

After you send a W-9

If a client pays you $600 or more in a year, expect a 1099-NEC from them by the end of January. Taxes aren't withheld from contractor pay, so it helps to send a clear invoice for each job and track what you earn. The 1099 income calculator turns contract pay into monthly income, and when a landlord or lender asks you to prove income without pay stubs, an income report from your bank deposits or a self-employment verification letter can fill the gap.

Frequently asked questions

What is a W-9 form used for?

Form W-9 gives a business your correct name, tax classification, address, and taxpayer identification number (SSN or EIN). The business uses it to report what it paid you to the IRS, usually on a Form 1099-NEC or 1099-MISC. Clients, platforms, banks, and landlords who pay you commonly ask for one.

Do I send a W-9 to the IRS?

No. You give the completed W-9 to the person or business that asked for it. They keep it on file and use it to prepare information returns like the 1099. The IRS does not want a copy.

Should I put my SSN or EIN on a W-9?

Individuals and sole proprietors can use their SSN, or an EIN if they have one for the business. A single-member LLC that is a disregarded entity uses the owner’s SSN or EIN, not the LLC’s EIN. Corporations, partnerships, and multi-member LLCs use the entity’s EIN. The number has to match the name on line 1.

How does a single-member LLC fill out a W-9?

A single-member LLC that hasn’t elected to be taxed as a corporation is a disregarded entity. Put the owner’s name on line 1, the LLC’s name on line 2, check “Individual/sole proprietor,” and give the owner’s SSN or EIN. If the LLC elected S or C corporation tax treatment, check “LLC,” enter S or C, and use the LLC’s EIN.

Is my Social Security number safe with this generator?

The form is filled in your browser using the official IRS PDF, and nothing you type is saved. If you create a share link, the form is encrypted in your browser before it’s uploaded and the key lives only in the link, so we store data we can’t read. The downloaded PDF contains your full SSN or EIN, so share it through a secure channel.

Can I sign a W-9 electronically?

Usually. Under the federal E-SIGN Act and state UETA laws, a drawn or typed electronic signature is generally as valid as ink when you intend to sign. For W-9s, the IRS leaves electronic-signature requirements to the requester’s system, so the person asking for the form decides what it accepts. This generator doesn’t verify identity or keep a signing record, so if a requester wants a handwritten signature, print the PDF, sign it, and scan it.

How do I share a W-9 securely?

Create a view-only link after filling it out. The requester can view and download the PDF, but can’t edit it. The link is end-to-end encrypted, expires after 30 days, and you can turn it off anytime. That’s safer than attaching a PDF with your SSN to a regular email.

Is this the current version of the W-9?

Yes. The generator fills the IRS Form W-9 revision dated March 2024, which is the latest version. It added line 3b for flow-through entities with foreign partners and clarified how disregarded entities complete line 3a.
